How to create an invoice, step by step

Follow these 6 steps using InvoiceBee's free invoice generator. The whole process takes under 2 minutes.

1

Add your business details

Enter your business name, address, email, phone number, and tax/VAT ID. These appear at the top of your invoice and establish who you are. If you're a sole trader, use your registered business name — not your personal name.

2

Add your client's information

Enter the client's full name or company name, their billing address, and email. Get this right — incorrect client details are the #1 reason invoices get bounced or ignored. Pro users can save clients and auto-fill this on future invoices.

3

Set invoice number and dates

InvoiceBee auto-generates sequential invoice numbers, but you can customize the format. Set today as the issue date. For the due date, choose your payment terms: "Due on Receipt" for immediate payment, "Net 15" for 15 days, or "Net 30" for the standard 30-day window.

4

List your products or services

Add each line item with a clear description, quantity, and unit price. Be specific: "Logo design — 3 concepts, 2 revision rounds" is better than "Design work". Specific descriptions reduce client questions and speed up payment. Drag items to reorder them.

5

Apply tax and discounts

Set your tax rate (e.g., 20% VAT, 10% GST, 8.25% sales tax) and label it correctly. Add a percentage or fixed-amount discount if applicable. InvoiceBee calculates the subtotal, tax amount, discount, and grand total automatically — no manual math.

6

Choose a template and download

Pick from 5 professional templates. Preview your invoice in real time on the right side of the screen. When it looks right, download the PDF. Pro users can also email the invoice directly to the client with the PDF attached.

5 invoicing mistakes that cost you money

Vague line item descriptions

"Consulting" tells the client nothing. "Marketing strategy session — Q2 campaign planning (2 hours)" tells them exactly what they're paying for. Specific descriptions get paid 25% faster on average.

Missing or unclear due date

Writing "Net 30" without an explicit date leaves room for interpretation. Always include the calendar date: "Due by May 15, 2026." InvoiceBee calculates this from your payment terms automatically.

Inconsistent invoice numbering

Skipping numbers or using random formats (INV-42, then #107) creates problems at tax time. Stick to one format. InvoiceBee auto-increments sequentially, so you never have gaps.

Forgetting to include payment instructions

Don't assume the client knows how to pay you. Include your bank details, PayPal address, or a Stripe payment link directly on the invoice. InvoiceBee Pro users can add Stripe payment links automatically.

Sending invoices late

The longer you wait to invoice after completing work, the longer you wait to get paid. Send the invoice the same day you deliver. InvoiceBee makes this easy — create and send in under 2 minutes.

Pro tips: get paid faster

Offer multiple payment methods

The easier it is to pay, the faster you get paid. Accept bank transfer, credit card, and PayPal. InvoiceBee Pro lets you add Stripe payment links so clients can pay with one click.

Send automated reminders

A friendly reminder at 7, 14, and 21 days overdue recovers most late payments without an awkward phone call. InvoiceBee Pro sends up to 3 automatic reminders per invoice.

Use professional templates

A polished invoice signals a professional business. Clients take well-designed invoices more seriously and prioritize them for payment. Choose a template that matches your brand.

Frequently asked questions

What is the correct invoice format?

A correct invoice includes: your business name and contact details at the top, the word 'Invoice' clearly visible, a unique invoice number, the issue date and due date, the client's name and address, an itemized list of goods or services with quantities and prices, subtotal, any applicable tax, any discounts, the total amount due, and your payment terms and methods.

How do I number my invoices?

Use a sequential numbering system. Start with INV-001 or 2026-001 and increment by one for each new invoice. Never reuse or skip numbers — tax authorities require an unbroken sequence. InvoiceBee auto-increments invoice numbers for you.

What payment terms should I set?

Common payment terms are: 'Due on Receipt' (immediate), 'Net 15' (15 days), 'Net 30' (30 days), and 'Net 60' (60 days). For new clients, shorter terms (Net 15 or Due on Receipt) reduce risk. For established relationships, Net 30 is standard. Always state the exact due date, not just the terms.

Do I need to charge tax on my invoices?

It depends on your location and business type. In the US, sales tax applies to goods (and some services) and varies by state. In the EU, VAT is mandatory above certain revenue thresholds. In the UK, you must charge VAT if your turnover exceeds £90,000. Consult a local accountant for your specific situation. InvoiceBee lets you set any tax rate and label (VAT, GST, Sales Tax, etc.).

Can I create an invoice for free?

Yes. InvoiceBee is a free invoice generator that requires no sign-up. Create unlimited invoices, use the Clean template, support 65+ currencies, and download professional PDFs instantly. The free plan includes a small watermark. Upgrade to Pro ($9.99/month, 14-day free trial) to remove it.

What is the difference between an invoice and a receipt?

An invoice is a request for payment — you send it before or after delivering goods/services, and it states what is owed. A receipt is proof of payment — you issue it after the client pays. An invoice says 'you owe me $500', a receipt says 'you paid me $500'. Both should reference the same invoice number.
